6.1 Forms converted to ADF task flow

The table below gives summary information of some menu options converted to ADF:

Query Debtor Transactions

{FARO-3}

Document details, line details and financial details can now be viewed in one screen i.e. the user no longer needs to right click on the document number to view the line and financial details of the document. None  None
Maintain no Show Indicators

{FARO-4}

Debit and Credit transaction are now in separate panel boxes with their own ‘Show on Statement’ check boxes. 

The user can now view transactions that are on the statement and transactions that are not on the statement, separately.

The indicator status will be used only during the printing of statements, the rest of the system will ignore it. When the changes are saved, the system checks that the total of the no-show debit transactions are equal to the total of the no-show credits. The totals will be displayed at the bottom of the screen and the system will not implement the changes unless the difference is zero.
            

If statement number is in use, then the system will only display records that are not linked to a statement number. This is because once a document is linked to a statement the user is not allowed to change no-show indicators.

Maintain Debtors

{FARO-21}

All the details of the debtor can be viewed and updated in one screen. The option is made up of 8 panel boxes, ‘Search’, ‘Debtor Biographical’, ‘Involved Person’, ‘Account Information’, ‘Payment Information’, ‘Mandatory Postal Address’, ‘Notes’ and ‘Addresses’. None  None

Generate Batch Journals

{FARO-29}

  • The user can now duplicate a journal that has been captured previously. 
  • The creation of a CSV template is now available to use to upload journals. 
  • The user can upload a journal from a CSV file. 
  • A create journal button was added to write the journal to the debtors table. If the user does not click on this button, then regardless of whether they have saved the journal or not, the journal will not appear on the debtors account.

Maintain Debtor Types

Debtor Types may be used for classifying debtors as, for example:

  • Ex-student Debtors 
  • Staff Debtors 
  • Debtors of a specific Bureau/Institute, etc.

Maintain AR Statement Groups 

{FARC-4}

Statement Groups are mandatory for all AR documents.  Integrator standard codes are provided with the install but clients may create their own Group Codes.  Group codes are used in the option {FAROR112} “Consolidated External Debtor Statements – NCR Format” to print AR Documents per Group Code. The order in which group codes are printed is set on the Group Codes definition.  None  None

Process Debtor Transactions {FARO-1}

1. The user can search for existing debtor transactions and balances using criteria in the Search panel box. If the search functionality is used, then all processes thereafter will default to the search criteria.

2. Debtor account types and their corresponding balances will show in the table i.e. summary of the returned results will display. The user can create an invoice or credit note, refer to page 32 for a detailed explanation.

3. Debtor transactions for a selected account type will display in table format. The user can also Maintain GLA.

Creating an invoice

1. The form format allows the user to capture the details of the invoice.

2. Additional information such as postal address can be captured.

3. The line items of the invoice can be captured in the table.

The same fields are used when processing credit notes.

Maintain GLA

1. The financial details of the transaction can be captured.

2. By clicking on the View Document button, the option will open the Invoice or Credit Note as well as the batch prompter.

The batch prompter will enable the user to view, mail or print the document.

Maintain Inter-Account Transfers {FARO-2}

If an invoice has been debited to the wrong debtor’s account, but the posting to the General Ledger is correct, this option may be used to create a Transfer Note to correct the error without the use of GL-journals.

Query Debtor Transactions {FARO-3}

1. Allows the search for invoices and transaction information of a particular debtor.

2. The invoices of the debtor display in the table and are not updatable.

3. The line items and general ledger allocation details of the invoice selected will display in the two adjacent tables.

Maintain no Show Transactions {FARO-4}

1. The user can search for debtor transactions using at least the Debtor Code or Account Type.

2. The user can opt to view either transactions that appear on the statement or no-show items only.

3. Debit and credit transactions appear in separate but adjacent panel boxes.

4. Allows user to select transactions to be hidden on the statement by ticking relevant check boxes.

Cancel Invoices {FARO-5}

1. The user can search for invoices using at least the Debtor Code, Document Type or Document Number and then cancel the specific document.

2. The details of the invoice to be cancelled display in form format and fields are not updatable.

Maintain Debtors {FARO-21}

1. The user can search for debtors using the Debtor Code, Name or Currency and edit their information.

2. The form layout is used to create or update debtor information.

3. Address details are captured in form layout and the information will appear in three tabs. Address information is not updatable in the table. The user has to click the Maintain Addresses button and an updatable form will display.

Once the information is captured and saved, it will then display in the Addresses panel box.
